What actually scales at the luxury end, and what does not

“Luxury” is used loosely in this market, usually to mean expensive. Operationally it means
something more specific: certain things grow with the budget and certain things stay
stubbornly the same, and knowing which is which is what stops a large budget being spent
badly.

Where large budgets get spent badly

Having planned at this level, the pattern of regret is consistent, and it is rarely about
spending too little.

• Spreading across too many functions. Six events done adequately is a
  worse wedding than four done properly, and it costs more. The strongest weddings at this
  budget usually have fewer functions with a clear identity each.
• Buying decor instead of buying design. More flowers is not more design. A coherent direction executed across three spaces reads as luxury; expensive elements in
  every direction reads as expensive.
• Under-resourcing hospitality. Couples will approve a large decor budget
  and hesitate over transfers and welcome desks, then hear afterwards that guests were confused
  about where to be. Hospitality is what the guest experiences directly.
• Leaving the crew booking late. At the top end the constraint is not
  money, it is that the senior photographer, the production designer and the artist you want
  are already committed. Book people before ballrooms.
• Treating the planner fee as a place to save. It is a small share of the
  total and it governs how well every other rupee is spent. If the fee is where the negotiation
  concentrates, something has gone wrong in the framing.

The most useful discipline at this level is deciding, early and explicitly, what the
wedding is actually for: the ceremony, the guest experience, or the photographs. All three
are legitimate. Weddings that try to lead on all three at once are where budgets stop
buying anything.

Your planner and the venue’s own events team

Every luxury property has an in-house events or banqueting team, and couples reasonably
ask why they need a planner as well. They do different jobs, and the weddings that run badly
are usually the ones where nobody established which.

The venue’s team is accountable to the venue. They own the spaces, the catering, the room
inventory and the property’s own rules, and they are very good at all of it. What they do
not do is manage the vendors you bring in, hold the design direction across functions, or
represent your interests in a negotiation with the property itself. Their brief ends at the
edge of the hotel’s own services, and an Indian wedding runs well past that edge: the priest,
the decor build, the artists, the photography team, the family logistics and everything that
happens before anyone arrives at the venue.

Where it goes wrong is the seam. Load-in times, who signs for what, whose staff moves the
mandap, when the ballroom flips between functions, and who is accountable if a vendor arrives
late. Those are not the venue’s problem and not yours, and if no one has explicitly taken
them, they surface at the worst moment.

In practice we work alongside the property’s team rather than around it, agree the split
in writing before the wedding week, and give them a single point of contact instead of five
family members with different instructions. Good venue teams welcome this, because it makes
their job easier too. If a property tells you a planner is unnecessary, ask them who is
managing your outside vendors, and listen carefully to the answer.
